1. Scope and owner
This policy describes how Garrett Martin Hitting, an independent online baseball coaching business, handles information collected through GarrettMartinHitting.com and the application process. Questions and privacy requests may be sent to coaching@garrettmartinhitting.com. The address is pending domain verification and should not be treated as active until launch configuration is complete.
2. Information collected
The application collects contact information, player age, baseball background, development goals, training access, coaching-relevant physical restrictions, consent records, and an optional private video link for players age 13 or older. We do not request raw payment card data, government identifiers, or unrelated medical history.
- For ages 10–12, a parent or guardian submits and controls the full process. No video link is collected on the public form.
- For ages 13–17, a parent or guardian is included in all coaching communication.
- Technical security data may include time, IP-derived rate-limit identifiers, and browser request information. We do not use behavioral advertising pixels.
3. Why information is used
Information is used to evaluate coaching fit, respond to the application, onboard approved clients, deliver coaching, keep the service safe, meet legal obligations, and honor privacy or consent requests. Information is not sold or used for behavioral advertising.
4. Service providers and disclosures
Cloudflare is intended to host the website and structured application data. Resend is intended to deliver transactional email. Square hosts subscription checkout for approved applicants. OnForm is used after approval for coaching video and communication. A private scheduling provider may be used for approved clients. Each provider should be configured under Garrett Martin Hitting’s account and reviewed before launch. Information may also be disclosed when required by law or necessary to protect safety and rights.
5. Youth privacy and parental control
The service is available to players age 10 and older but is not designed for children to use independently. For ages 10–12, the parent or legal guardian must submit the application, control contact, payment, and coaching communication, and provide any later footage through the parent-controlled OnForm process. A standard waiver does not replace privacy notice or parental consent.
- Parents may request access, correction, deletion, or consent revocation.
- No player information, footage, results, or testimonial is published without a separate written media release.
- If information appears to have been submitted directly by a child age 12 or younger, the record will be restricted and deleted unless valid parental authorization is promptly established.
6. Retention and deletion
Declined or incomplete applications should be deleted within 90 days unless a shorter deletion is requested or retention is legally required. Waitlisted applications should be reconfirmed at least every six months and deleted after 12 months without renewed interest. Active-client records are retained while coaching continues and for up to seven years afterward only where reasonably needed for tax, contract, dispute, safety, or legal records. Coaching video retention is governed by the configured OnForm process.
- Deletion requests are identity-verified and logged.
- Backups may retain deleted data temporarily until normal backup expiration.
- Required financial records may be retained even when other coaching data is deleted.
7. Security
The site uses access controls, encrypted transport, secure session cookies, server-side validation, abuse controls, least-privilege service access, and restricted dashboard access. No system can guarantee absolute security. Do not submit emergency or highly sensitive medical information through the application.
8. Your choices and rights
You may request access, correction, a portable summary, deletion, or revocation of consent by emailing the business address. We will verify the requester’s identity and, for minors, the requester’s authority. Revoking consent may make continued coaching impossible but does not affect processing already lawfully completed. Colorado and other state laws may provide additional rights. Final procedures require legal review.
9. Changes and contact
