1. What we collect
Contact details for the applicant, the player, and (for minors) the parent or guardian: name, email, phone.
Player age, playing level, positions, and baseball background.
Development goals, training setup, and any physical restrictions relevant to safe coaching. Please do not include unrelated medical history.
For players 13 and older, an optional private video link at application. We do not collect video on the application for players age 10 to 12.
After enrollment, swing video, messages, and coaching notes exchanged through OnForm.
Records of notices acknowledged, agreements signed, document versions, dates, signer name and email, signer role, electronic-signature consent, enrollment and onboarding progress, cancellation requests, and cancellation-request timestamps. Electronic acceptance records and the exact packet version accepted are retained as agreement records.
Technical security data may include request times, IP-derived rate-limit identifiers, browser/request information, and data processed by Cloudflare Turnstile to check for automated abuse. Administration uses a session cookie. We do not use behavioral advertising pixels. Security and service providers may process technical data under their own notices.
We never collect card numbers. Payments are handled by Square on Square's own pages.
2. How we use it
To review applications, communicate with you, deliver coaching, keep the service safe, keep required business records, and respond to your requests. We do not sell information or use it for advertising.
3. Services we rely on
Your information is handled by these providers, each under its own privacy policy: Cloudflare (website hosting, application storage, and Turnstile security checks), Resend (automated application and status emails), Apple iCloud Mail (our business email), OnForm (coaching video and messaging), Square (payments), and OpenAI tools (limited private swing-analysis and draft coaching support). OpenAI tools may receive limited coaching footage and context only when reasonably necessary to help Garrett study mechanics, compare visible patterns, or prepare draft coaching notes. Garrett reviews the work and makes every coaching decision; these tools do not independently approve applicants, communicate with clients, or determine a player’s coaching plan. We do not authorize public use, advertising use, or unrelated profiling of client footage, and we use available privacy and access controls to limit processing to this private coaching purpose. We may also disclose information when required by law or to protect someone's safety.
4. Players under 18
For players age 10 to 12, a parent or guardian submits the application and controls communication, payment, and video sharing. For all players under 18, a parent or guardian is included in coaching communication. If we learn that a child age 12 or younger submitted information directly, we restrict access and stop further collection from the child while determining the appropriate response. We delete the information unless applicable law permits retention and any required parental notice and verifiable consent have been completed.
5. Your video and image
Player video is used privately for coaching only. We do not post player video, names, results, or comments publicly or on social media without a separate written release.
6. How long we keep information
Declined or incomplete submitted applications: deleted within 90 days after the decline or closure, unless retention is legally required. Unsubmitted form entries are not treated as stored applications unless actually received by the service.
Waitlisted applications: deleted after 12 months without renewed interest.
Active-client information is retained while needed to deliver coaching. After membership ends, signed agreements and payment records may be retained for up to seven years where needed for tax or legal purposes, or longer only where legally required. This period does not automatically apply to every video, message, or coaching note.
Coaching video, messages, and coaching notes are retained during membership and deleted from OnForm and other copies under our control within 90 days after membership ends, unless particular records must be retained to meet a legal obligation. You may request earlier deletion, subject to applicable legal retention requirements. Where provider action is needed, we request deletion. Provider backups and copies previously downloaded by the client may follow different deletion processes.
7. Your choices
You, or a parent or guardian on behalf of a minor, may ask us to see, correct, or delete your information, or withdraw consent, by emailing coaching@garrettmartinhitting.com. We will verify who is asking. Some records must be kept where the law requires. Withdrawing consent may mean we can no longer coach the player.
8. Security
The site uses encrypted connections, password-protected administration, and rate limiting. No system is perfectly secure. Please do not send emergency or sensitive medical information through the site.
9. Changes and contact
